iCloud Drive refreshes itself whenever a device is online, so to refresh it you make sure Sync this [device] is on, every device uses the same Apple Account, and the device is updated.

How to refresh iCloud Drive

Apple states that files stored in iCloud Drive stay up to date across all your devices. A device that is signed out, or has iCloud Drive turned off, stops receiving those updates, which is the usual reason a folder looks stale.

  1. Confirm every device is signed in to the same Apple Account.
  2. Open the iCloud Drive settings on the stale device and make sure Sync this [device] is turned on.
  3. Update the device to the latest iOS, iPadOS or macOS, or to the latest iCloud for Windows on a PC.
  4. Connect the device to the internet and leave it online; changes saved in iCloud appear the next time it goes online.
  5. Sign in at iCloud.com and open Drive to confirm the file has reached iCloud.

  2. Click Drive (or iCloud Drive).

  4. If the file is listed here but missing on a device, the problem is on that device; if it is missing here, the device that created it has not uploaded it yet.

How to refresh iCloud Photos on iPhone and Mac

Upload time depends on the size of the library and the speed of your internet connection. A paused upload is the common reason new photos do not appear elsewhere.

Device Turn on iCloud Photos Resume or speed up uploads
iPhone or iPad Settings > your name > iCloud > Photos > Sync this device In Photos, open the profile button (under Collections on iOS 26) and check for Pause; on version 27 or later, turn on Sync Immediately and choose For Today
Mac System Settings > your name > iCloud > Photos > Sync this Mac In Photos, select Library, click All Photos, scroll down and check the pause control

Allowing Sync Immediately over cellular can increase data usage.

iCloud Drive sync status icons in File Explorer

On a Windows PC, the icon beside each file shows whether the refresh has finished. These icons are not supported in iCloud for Windows version 7.

  1. Open File Explorer and select iCloud Drive in the Navigation pane.
  2. A cloud icon means the file is stored only in iCloud and has not been downloaded.
  3. Blue circular arrows mean the file is waiting to download, and a progress bar means it is downloading now.
  4. A green checkmark in a white circle means the file is downloaded to the PC.
  5. A white checkmark in a green circle means the file is pinned with Always keep on this device.
  6. A blue shared icon marks an item you shared; an orange one marks an item shared with you.
